LANDMARK UNIVERSITY ACTION PLAN FOR OUTSOURCED SUPPLIERS AND THE SUPPLY CHAIN FOR EQUIPMENT, STATIONERY, AND BUILDING CONTRACTORS

Objective: In order to ensure that all outsourced suppliers and contractors
conforms to the University’s environmental, ethical, and sustainability
policies for a responsible, transparent, and eco-friendly supply chain.

  1. Policy Development and Review
    Establishment and reviewing robust action plan on sustainability and
    ethics that is common for all suppliers and contractors. These would
    involve those around waste reduction, responsible utilization of resources, rights of labors, reduction in emissions, among others.
    Those assigned: Sustainability team, procurement department, legal
    department Expected Output: Detailed supplier policy document stating clear expectations and requirements to all suppliers plainly.
  2. Supplier Audit and Evaluation Framework

The Audit Team must have established processes for auditing/taking care
of suppliers’ compliance to these action plans, concerning their
environmental impact, labor practices, waste management, and resource
efficiency.
Those assigned: Procurement department, third-party audit firms
Expected Output/ Deliverable: documentation of supplier evaluation
framework and criteria including audit schedule.

  1. Update in Supplier Contract
    Prompt reviewing and updating of all contracts by incorporating clauses that require compliance with the University’s action plan on sustainability, ethical labor practices, and environmental impact specifying the terms of compliance and consequences of non-compliance.
    Responsibility: Legal department, procurement team.
    Expected Output: Contract templates incorporating sustainability and
    ethical compliance clauses.
  2. Supplier Training and Capacity Building
    Suppliers shall be trained and provided with resources necessary for
    meeting up with sustainability plan and ethical requirements as stipulated by the University. These would include information on waste reduction, resource management, emissions tracking, and labor practices.

Those assigned: SDG 12 Sustainability team, external sustainability
consultants
Expected impact: Training sessions, resource kits, and support to
suppliers.

  1. Periodic Compliance Monitoring
    i. Regular monitoring and compliance checking to ensure that suppliers are in compliance with the set action plan.
    ii. Utilize a self-assessment documents coupled with site visits and
    independent audits to verify compliance biannually
    Those assigned: Procurement department, sustainability auditors
    Expected Outcome: Bi-annual compliance reports, correcting actions
    against non-compliances.
  2. Sustainable Supplier Recognition Program
    Developing a recognition platform for suppliers who showcased exemplary compliance with the established sustainability and ethical practices will be hence initiated as a way to encourage improvement by the suppliers.
  3. Establishment of Sustainable Sourcing Partnership Agreements
    Engaging key suppliers by establishing partnership agreements on
    sustainable sourcing, from analysis of materials environmental impacts to processing and logistics.
  4. Reporting and Transparency Initiatives
    Setting up of an open reporting system where progress and results on
    supplier compliance will be reported internally within the university as at when appropriate, to the external community as part of its responsible sourcing practice through sustainability and corporate affair Teams who are to generate annual sustainability report and supplier scorecard.
    Conclusion
    These action plan covers procedures for outsourced suppliers and contractors concerning equipment, stationeries, and building contracts towards maintaining our reputable, ethical, and sustainable supply chain. The University will continue to train and retrain on our expectations and ensuring regular monitoring so that suppliers will contribute their expected quota toward the sustainability of established objectives.
